1. Installation Wizard

Guided first-time setup · split-screen checklist

When TinyMIS is freshly installed or factory-reset, the installation wizard activates automatically. It uses a split-screen layout: a checklist of steps on the left with a live progress bar, and an embedded workspace on the right where each configuration is filled in — you never leave the wizard page.

  • Company information — name, contact, email, phone, address, logo
  • System configuration — timezone, currency, date/time format, payroll year start
  • Departments — organisational units (Production, HR, Accounts, etc.)
  • Designations — job titles within each department
  • Contract types — Permanent, Contract, Intern, and more
  • Office shifts — in-time, out-time, rest, overnight flag
  • Leave types — CL, PL, SL with quotas and rules
  • Holidays — national, regional, optional (optional step)
  • Salary components — Basic, DA, HRA, PF, ESI, and more

Each step is marked Required or Optional. The system validates minimum entries before marking a step complete, and once all required steps show a green checkmark, the completion screen lets you finish the wizard and land on the dashboard.

2. Configuration

Admin-only · tabbed settings centre

The Configuration page is a single tabbed centre for every setting. The left sidebar lists categories; the right pane shows the selected category's content.

  • General — company name, contact, address, logo
  • Branches — office locations with code, name, contact, city
  • System — app name, timezone, currency, date/time format, payroll year start, push toggle
  • Office shift — fixed shifts per day of week, rest, overnight, default
  • Flexi shift — gliding time or core-hours + flexi bands
  • Leave — leave types, quotas, accrual, carry-forward, encashment, WFH
  • Rules — seven rule engines (see below)
  • Departments / Designations / Holidays — master data
  • Contract type — Permanent, Probation, Contract
  • Salary — components + PF/ESI rate and limits
  • Documents — document types for employee files
  • Mail / Schedule — automated report scheduling
  • Push notification — VAPID keys and test notification

3. Dashboard

Role-aware home screen

The dashboard adapts to the signed-in user's role. The top bar shows live system health (CPU usage, free disk), the company name, and a branch filter. Quick-access icons give one-tap entry to notices, clock, tasks, audit trail, document vault, tickets, messages, calculator, jobs and reports.

  • Four colour-coded stat cards (Absent, Total, Present, On Leave)
  • Admin cards are clickable to jump straight to the relevant list
  • 7-day attendance bar chart (present vs absent, or hours vs deficit)
  • Active notices and today's holidays panel
  • Notification dropdowns for messages, pending leaves, monthly process, incomplete employees
  • User menu: change password, phpMyAdmin, logout

4. Attendance

Daily, monthly, performance, movement & remote
  • Shift detail — per-employee shift assignment and breakdown
  • Daily attendance — the live register for the selected day
  • Employee movement — inter-location movement with journey map
  • Service / marketing — field and service team attendance
  • Monthly attendance — per employee and all-employees views
  • Monthly leave / OT report — quick reconciliation

5. Devices & Clock-in

Biometric, QR binding, GPS & journey tracking
  • Biometric devices — fingerprint and face recognition, with device category (attendance, canteen, visitor) and biometric template eligibility controls.
  • QR device binding — generate a QR token, send it by email, register a personal mobile device by scan or by a short bind code, secured by token and revocable.
  • GPS clock-in with geofence — when an employee is permitted remote attendance, location is captured only at clock-in/out and verified against an authorised area.
  • Journey tracking — optional background GPS logging every 15 minutes between remote clock-in and clock-out, stored separately so it never affects the daily attendance pipeline, then plotted on a map in the employee movement report.
  • Service / marketing toggle — designate devices or employees as field/service staff.

6. Leave Management

Types, accrual, carry-forward, sandwich & WFH
  • Leave codes (CL, PL, SL) with description and annual quota
  • Accrual types: annual, monthly, quarterly
  • Balance start, carry-forward enabled + maximum
  • Encashment option and probation period
  • Work-from-home as a configurable leave type with a percentage factor

7. Payroll

8. Statutory Reports & Contributions

PF/ESI contribution & compliance reports
  • Contribution report — employer and employee shares for PF and ESI.
  • Statutory compliance reports — generated per form type, month and year.
  • Scheduled mail reports — daily, weekly, monthly or quarterly, delivered automatically to branch managers.
  • Mail test — verify mail configuration before relying on schedules.

9. Visitor Management

Categories, invitations, QR/PIN check-in, host notify
  • Categories — Vendor, Client, Interview, Contractor — driving contract, assets, max-duration and recurring behaviour.
  • Invitations — host employee invites a visitor, picks a time slot and entry mode, generates a visitor ID code, QR token and PIN, and sends a token-gated mobile link by email/SMS.
  • Guest form — visitor confirms details, uploads a photo and ID proof on a public, token-gated page.
  • Check-in at device — visitor authenticates by QR code, invitation PIN or face; a session is created and the host employee is notified by web push and message.
  • End of meeting — visitor re-punches or the host ends the meeting from dashboard/mobile; duration is recorded and appended to the movement report.
  • Blacklist — block a visitor at the device level.

10. Canteen Management

Timezones, items, consumption rules & punches
  • Timezones — meal windows (breakfast, lunch, tea) per device
  • Blackout periods — close the canteen on specific dates
  • Item master — code, name, timezone, active flag
  • Consumption rules — quotas and limits per window
  • Contractor pricing — per-item contractor rate
  • Per-employee, per-day punches with automatic deduction, surfaced on mobile attendance

13. Backup, Restore & Disaster Recovery

Owner-level safety net
  • Full backup — back up the entire system at owner level for disaster recovery.
  • Tenant backup — back up and restore an individual organisation's data on demand or on schedule.
  • Restore — restore from a previous backup file.
  • Factory reset — wipe configuration and data, returning the system to a fresh-install state with the wizard active.
